We are looking for an experienced Admissions Officer to join our team. The Admissions Officer is an integral member of the Enrolment team and is a front-line representative of our School and communicates Collingwood’s mission, differentiators and programs of interest to external inquiring families. The role also supports external families as they navigate the admissions process and offers support to current families regarding all aspects of enrolment. This is a Full Time Permanent position available immediately.

Responsibilities

  • Overview and support the full-cycle enrolment process for JK to Grade 12 (inquiry, application, tour, assessment, interview, data & document collection, communicating results)
  • Be a primary contact for all inquiring families
  • Provide timely, accurate and informative responses to email, phone and in-person inquiries
  • Maintain Admissions database (Veracross) and collection of all supporting documents
  • Schedule and lead informative and engaging school tours for inquiring and applicant families
  • Participate in the process of vetting, assessing and interviewing applicants and their families
  • Provide support during the annual enrolment of current and new JK-Grade 11 students
  • Coordinate, schedule and invigilate in-house assessments for applicants to JK-Grade 11
  • Support and action a range of enrolment events including New Student Day, New Parent Receptions, Open Houses and Assessment & Interview days (occasional evening and/or weekend work is required)
  • Maintain and update the Admissions Portal, New Parent Portal and the Admissions web page
  • Gather and maintain accurate data and produce regular statistical reports
  • Liaise with Collingwood faculty and staff, current parents, and parents of applicants
  • Provide support for the Admissions Ambassador Program (student and parent)
  • Keep apprised of JK-Grade 12 activities and events
  • Attend department meetings, retreats and school-wide meetings, as well as participate in professional development opportunities
  • Engage in work aimed at supporting the Director of Admissions and Financial Assistance to ensure full enrolment
  • Perform any other related duties as requested by the Director of Admissions and Financial Assistance

Required qualifications

  • A combination of post-secondary education and a minimum of two years of administrative support experience in a collaborative office setting in admissions, education, business, project management, public relations, communications or another related field
  • Basic knowledge of a K-12 curriculum, Advanced Placement (AP) or/and other educational curriculum
  • Proficiency in Google and Microsoft Office Suite as well as strong web-based communication tools and database skills
  • Proven ability to thrive in a fast-paced, deadline-driven, highly productive environment
  • Able to work independently as well as collaboratively with colleagues
  • Ability to respond appropriately and in a timely manner to email, phone and in-person inquiries
  • Great attention to detail, self-motivation, self-regulation and flexibility
  • Discretion regarding the handling of sensitive and confidential information pertaining to student, parent and applicant communications and permanent records
  • Able to identify, address and resolve issues as they occur
    Ability and confidence to build and maintain relationships across the entire School community
  • A positive, confident, can-do attitude along with a sense of humour
    Canadian residency and legally entitled to work in Canada
  • Proficiency in a second language is an asset
  • Required to have a valid driver’s license and daily access to a personal vehicle
  • Physically able to sit at a desk and use a computer for extended periods of time
  • Experience working in an Independent School or University Admissions Office is an asset
