Summary

You will be a part of a supportive and engaged team of three Administrative Assistants, who support the Junior School’s administration to develop a vibrant and cohesive school experience for students, staff and parents. Immersed in the life of the Junior School, you will experience the energy of this positive community, and interact throughout the day with students, teachers and parents. 

Key Responsibilities:

This role involves School-Wide Administrative Support and Learning Resource Administrative Support, requiring a strong daily connection with the Junior School community to foster a sense of belonging. Working alongside dedicated professionals who embody courage, creativity, and citizenship, the role contributes to a positive and supportive culture for staff,  students and families. Additionally, it offers opportunities for professional growth within a dynamic development network.

Supporting the Junior School:

  • Greet all visitors, students, and parents as a key member of the front desk team.
  • Provide administrative support to the Director and Assistant Directors of the Junior School.
  • Manage phone calls, schedule appointments, and respond to inquiries regarding the school’s day-to-day operations.
  • Prepare general correspondence, presentations, and reports in collaboration with other members of the administrative support team.
  • Support the recording of daily student attendance, including contacting families when students are absent.
  • Compile and maintain student records in the Student Information System (MySchool) and report to the Ministry of Education as required, ensuring confidentiality is upheld at all times.
  • Liaise with various school teams (Facilities, IT, etc.) to support the Junior School’s day-to-day operations.
  • Respond to students in need of support by providing first aid or contacting appropriate colleagues (teachers, counsellors, Assistant Directors, or the Director) as necessary.
  • Provide support for after-school programming.
  • In collaboration with the Junior School administrative team, support the coordination of school events and day-to-day operations, including managing space bookings.

Supporting the Learning Resources Team:

  • Contribute to a team-based approach to student support alongside teachers, parents, and paraprofessionals.
  • Coordinate Learning Resource meetings, including termly team meetings, grade meetings, and family meetings for students receiving Learning Resource support
  • Take thorough minutes for team-based meetings, including Individualized Education Plan (IEP) and Student of Consideration meetings.
  • Organize Learning Resource documents and maintain student service schedules (including those for counselling, speech-language pathologists, occupational therapists, and behaviour interventionists).
  • Manage the Student Services Centre calendar.

Skills/Attributes:

  • Previous experience in a fast-paced, professional work environment (independent school experience is an asset).
  • Proficiency in Google applications and database management.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and a collaborative working style.
  • Adaptability, professionalism, and the ability to work autonomously.
  • Willingness and ability to show care, warmth, and compassion in confidential situations and when handling sensitive matters.
  • Ability to adapt well to change, prioritize, and multitask.
  • A high level of attention to detail, along with the ability to see the “big picture.”
  • Strong organizational and time management skills.
  • First Aid certification (or a willingness to obtain one).An understanding of the BC Ministry of Education’s Inclusive Education policies and procedures is an asset.
  • Experience with student-focused documentation (e.g., IEPs, School-Based Support Plans) is an asset.
  • Energy, commitment, and a readiness to participate in the diverse life of the school community.

Minimum Qualifications:

  • A minimum of three years of administrative or executive assistant experience.
  • Experience working in Inclusive Education is an asset.

Employment and Application Details: 

Start date: As soon as possible

Working hours: Campus-based, Monday-Friday, 8:30am–5:00pm with a one hour unpaid lunch break.
