About this Role

This position serves the office of the Principal, Junior School. Reporting to the Principal of the Junior School (JK-Grade 7), this position supports the development and implementation of policies, structures, and processes that support strategic priorities for Junior School teaching and learning, BC Ministry and CAIS requirements, risk management, and professional learning. The Junior School culture is one of strong customer service to the students and parents attending the School; therefore, this position requires excellent organizational, communication, and problem-solving skills, along with the ability to work in a fast-paced office while maintaining rapport with all constituents. This position requires professionalism, discretion, discernment, flexibility, adaptability, and confidentiality, all of which are necessary for maintaining trust and building positive community relations.

 

Providing organizational and administrative support as follows:

  • Supports the Principal of Junior School in responsibilities that include reporting, records, systems and events related to teaching and learning, BC
  • Ministry of Education and CAIS, Risk Management, Professional Learning, strategic partnerships and programs
  • Maintains the Principal’s files and calendar with a high level of confidentiality 
  • Manages the Little School and Junior School internal and external calendars
  • Prepares, reviews, and distributes correspondence, such as messages to families, teachers, and staff as directed
  • Assists with editing and formatting written communication (i.e. report cards, reference letters, evaluations, etc.) 
  • Assists with budget overview, including tracking and communication to Finance Department
  • Supports coordination of all Little School and Junior School events (i.e. staff meetings, orientation events, guest speakers) 
  • Assists with emergency procedures during events and drills, and supports editing process of the emergency procedure documents
  • Coordinates and updates the Staff Handbooks and Family Handbook, and maintains the contents as changes occur
  • Coordinates and updates the weekly Junior School weekly Staff Bulletin 
  • Assists with staff recruitment, including interview schedules 
  • Assists new faculty members with classroom requirements (custodial), furniture, IT issues, telephone, processes, keys, information as required
  • Liaises with Parent Auxiliary regarding various fundraising and other initiatives as required (i.e. communications to parents, faculty, surveys, etc.)
  • Assists with coordination of facility changes, including IT, furniture, space planning, moving, custodial (painting, repairs) etc. 
  • May cover some duties of the Junior School Administrative Assistant when needed and daily coverage of reception for lunch breaks
  • Other duties as assigned

 

Knowledge, Skills and Abilities:

  • Strong interpersonal skills and collaborative working style
  • Excellent written and oral communication skills
  • Professional presentation of documents, files, office
  • Previous experience working in administration in schools is an asset
  • 5+ years experience in an Executive Assistant role is an asset
  • Experience working with confidential materials and information
  • Completion of post-secondary education require
  • A high level of attention to detail along with the ability to see the “big picture”
  • Intermediate to advanced skills in the Google Suite (mail, chat, docs, sheets, slides, forms)
  • Experience with using graphic design skills in written communication documents is an asset 
  • Friendly, approachable demeanor
  • Strong organizational and time management skills, productive and efficient
  • Excellent problem-solving abilities, takes initiative and is proactive 
  • Flexible, ability to adapt well to change and prioritize and multi-task in a fast paced environment 
  • Proven ability to exercise tact, discretion, and good judgment when dealing with confidential and sensitive matters
