POSITION: Junior School Administrative Assistant
REPORTS TO: Head of Junior School
START DATE: August 24th, 2020

POSITION SUMMARY
This position will provide administrative support to the Junior School and executive support to the Head of Junior School. The candidate will be the first point of contact for questions, concerns and requests addressed to the Junior School Leadership Team. A high degree of professionalism, with enthusiasm and decorum in presenting the school to all constituents is required.

DUTIES and RESPONSIBILITIES

Executive Support
• Maintain and update calendars for the Junior School Leadership Team
• Arrange meetings for Leadership Team and prepare necessary documents
• Take meeting minutes
• Field parent communications for response by Leadership Team
• Prepare internal and external correspondence
• Edit and format school documents
• Collect and combine budget information for review
• Book travel and accommodation for Faculty & Leadership
• Take steps to understand and keep up to date with events, school culture, and communications such as the Howl
• Complete executive support tasks with autonomy and organize document files electronically
• Collaborate with front office colleagues to support JSLT
School Support
• Maintain and update main Junior School Leadership Team calendars
• Organize and order staff lunches
• Assist with special events and projects
• Back up reception as needed
• Back up phones/switchboard as needed
 
POSITION QUALIFICATIONS
• Must hold Canadian working status at the time of application – a work permit copy is required   
• Minimum 1-year experience in a similar administrative and/or executive assistant role
• Superior communication and interpersonal skills
• A self-starter who takes initiative in problem solving
• A positive attitude, with energy and a decorum that reflects WPGA’s values
• Self-motivated and proven record of achieving goals
• High degree of discretion and tact
• Strong administrative skills in computing and information presentation
• Strong technology skills, both database and office tools A resilient personality to deal with multiple and occasionally conflicting priorities.
• A dedication and commitment to the values and dynamic life of the school
• Knowledge of WH-Blackbaud software an asset
• Knowledge of CAIS and Independent School operations an asset
• Grades JK- 12 educational experience an asset
