Southpointe Academy, an independent, K-12, university-preparatory school invites applications from individuals who wish to join our dynamic team. Located in Tsawwassen, BC, the school is home to 545 students and a faculty and staff of over 75 teachers and support staff. Our graduates attend the top post-secondary schools in Canada, the U.S. and the U.K. The school is an authorized International Baccalaureate Primary Years Programme (IB PYP) school and is implementing the International Baccalaureate Middle Years Programme (IB MYP). We also offer the College Board’s Advanced Placement (AP) Program to students in Grades 10-12. We currently have the following vacancy:
 
Position: Director of Admissions
 
Start Date: September 5, 2017    Classification: Management
 
Reports to: Head of School    
 
Position Accountability:
The Director of Admissions plans and implements the admissions function at Southpointe Academy, including the Admissions Policy and Procedures in keeping with the School’s mission, vision and values and the goals and objectives established by the Head of School (HOS) and Board of Governors.
 
Responsibilities:
Admissions Strategy Development:
• Works with the Head of School to define the goals and philosophy behind all admissions activities
• Prepares and maintains past and current statistics regarding enrolment, demographic data on students, and student attrition
• Develops Key Performance Indicators (KPIs) for the admissions and enrolment process
• Reviews KPIs annually with the HOS to evaluate the effectiveness of the admissions process
• Regularly reports on admissions activities, trends, and results, making recommendations to the HOS with the goal of continually refining the admissions process
• Works with members of the administration and faculty to develop and organize recruitment and retention activities
• Conducts exit interviews with parents and children who are leaving the school to identify ways for improving retention
• Reports on a regular basis to the Leadership Team (LT) on reasons for withdrawals as an aid in developing strategies for retention
Admissions Process:
• Directs the admissions process from the point of inquiry through enrolment
• Ensures all tests, applications, student profiles, and other enrolment related documents are recorded, up to date and properly filed
• Ensures rooms, materials, and staff are available and aware of responsibilities during and following admissions testing
• Administers all admissions testing and communicates admission results to parents
• Conducts the first round of admissions interviews and schedules finalist interviews with administration
• Clearly articulates to parents all aspects of the academic programmes
• Prepares and manages the admissions budget
Admissions Marketing:
• Ensures the School’s mission, vision and values are upheld in recruiting messages to prospective students and families
• Markets the school to and qualifies prospective candidates and their families primarily through personal interviews and tours of the School
• Works closely with the Advancement Department and the Board’s Advancement Committee to ensure alignment between Admissions and Advancement in all Admissions Office activities and events
• Delivers presentations to staff in order to communicate the role of the Admissions Office and the “brand” of experience that has been conveyed to parents so that all staff members are able to convey consistent messaging to parents through their interactions
• Coordinates and participates in activities involving prospective students and families
• Actively promote the School at relevant external events to expand the School’s reach into targeted markets
• Promotes relationships with outside institutions or groups (schools, libraries, nursery schools, real estate agencies, etc.) that may be helpful in attracting qualified students
• Working collaboratively with the Director of Advancement, contributes to the preparation of promotional materials that interpret the School to prospective students and families
• Supports the Director of Advancement in preparing marketing materials for the School
 
Key internal interactions: Head of School, Director of Finance and Operations, Director of Advancement, Support Staff, School Principals, Facilities Manager
 
Key external interactions: prospective parents and students, recruitment service providers, feeder schools and pre-schools
 
Success Measurements:
• Qualified students are applying to the school
• Enrolment goals are met or exceeded
• The number of inquiries continues to increase year over year
• The number of inquiries that lead to applications, which are converted to offers accepted, is increasing year over year
• Student retention rates are stable or improving
• Parents report high levels of satisfaction with the enrolment process on the regular Parent Survey
 
Salary: Commensurate with experience
 
Qualifications/Experience:
• A passion for the mission of the School
• Successful completion of an undergraduate degree or equivalent
• Excellent interpersonal, communication, and organizational skills
• A self-motivated individual with a track record of success in a customer service oriented environment
• The ability to work cooperatively with all members of the school community
• Ability to analyze and interpret data
• Experience and proficiency using word processing, database, spreadsheet, and email applications
• Management experience (preferred)
