Crofton House School is welcoming applications for a Senior School, Administrative Assistant. Reporting to the Assistant Directors who oversee Student Life and the Ivy Compass Program, this Administrative Assistant, supports the elements of a school that pertain to the student experience beyond the classroom. You would join a supportive and engaged team of four other Administrative Assistants who support the Senior School’s administration to develop a vibrant and cohesive school experience for students, staff and parents. Your day would be anything but dull. Immersed in the life of the Senior School, you will experience the energy of this positive community, interact throughout the day with students, teachers and parents, and have autonomy to manage your own portfolio. Your ideas will be welcomed.
 
Responsibilities*

  • Provide operational support to two Senior School administrators, Assistant Director, Student Life and Assistant Director, Ivy Compass, in the planning, communication and documentation of all elements related to student-based events and activities such as:
  • Student orientation and opening week activities
  • Special assemblies such as Remembrance Day, Graduation, Awards Assembly
  • Student Leadership including elections and orientation of new leaders
  • Global Trips including oversight of documentation and communication
  • The Student Exchange Program including preparation of CHS students to travel and welcoming of exchange students to CHS
  • Ivy Compass Days and Ivy related programs such as the Citizenship Ceremony
  • Be a knowledgeable ambassador for student-focused programs
  • Act as an accessible and receptive point of contact for students, teachers and parents for all aspects of the co-curricular and Ivy Compass programs
  • Demonstrate proactive communication
  • Maintain all documentation for student-related programs
  • Prepare daily announcements for the community
  • Be proactive and prepared to contribute to a weekly ‘management’ meeting, the goal of which is to bring together all aspects of Senior School operations

Knowledge, Skill, Ability, Experience, Attitude

  • A vision for the impact that an effective administrative assistant can have on a school culture through supporting programs that are focused on student experiences, student voice and student leadership
  • A desire to be part of a team whose roles are integral to the smooth operation of the Senior School and who, as a group, have autonomy over their individual and collective roles
  • A genuine interest in spending your day with students, Grades 8 to 12
  • Well-developed interpersonal skills evident in face-to-face, telephone and electronic communication
  • Strong organizational skills that are demonstrated through pro-active planning, excellent documentation and clear communication
  • An ability and the skill necessary to manage complex projects
  • An understanding of risk management and mitigation strategies related to student health and safety
  • An ability to discern which decisions require consultation and which can be decided upon independently
  • A self-starter; willing to take the initiative to develop and/or improve activities and events
  • An ability to work independently
  • Effective oral and written communication skills
  • An understanding of school routines, events and operations, an asset
  • Experience using Google Suite applications is preferred
  • Up-to-date First Aid certification

This contract begins on August 20 in preparation for the school year.
